How Fast Should I Follow Up With a New Website Lead?

Quick answer

Faster is generally better, because people contact more than one business and the first useful reply has an advantage. But there's no universal magic number, and promising a five-minute callback you can't keep is worse than being honest. Set a window you can actually hold, say it out loud on your site, and use an automatic acknowledgment to cover the gap.

Why speed helps

Someone filling out a form at 8pm is usually filling out two or three. They're in decision mode right now, with the details fresh in their head. A reply that lands while they're still thinking about it gets an easier conversation than one that arrives after they've moved on.

That's the whole argument, and it's enough. You don't need a statistic to act on it.

Why I won't give you a number

You'll see confident claims that leads must be contacted within five minutes or they're gone. Treat those as marketing. The right speed depends on your trade, whether the work is urgent, what your competitors do, and what you can sustain while you're up a ladder.

A plumber with a burst pipe and a wedding photographer booking eleven months out are not on the same clock.

Acknowledgment versus a real reply

These are two different things, and confusing them causes most of the stress. An acknowledgment says "got it, here's when you'll hear from me" and can be sent instantly if that's set up. A real reply answers their question, asks yours, and takes a human.

Instant acknowledgment plus an honest window beats trying to be personally instant all day. See can my website collect leads and automatically follow up for how the acknowledgment gets sent.

Setting a window you can keep

  • Urgent trades: same day during business hours, with a clear note about after-hours and emergencies.
  • Quote-based service work: within one business day is a reasonable, keepable standard.
  • Booked-out or project work: one to two business days, if you say so plainly.
  • Whatever you choose, put it on the form and in the acknowledgment — and then keep it.

Being reliably good is better than being occasionally instant. People forgive a stated wait; they don't forgive silence after a promise.

The practical version

Put a reminder on every new inquiry so it can't sit. That's covered in can a CRM remind me to follow up and how to track website leads.

If you want, send me what you have and I'll help you figure out what you actually need.
