The idea in one picture
Imagine columns on a whiteboard. Each lead is a card, and it sits in one column at a time. When something happens, the card moves right. If the columns are named after your real steps, you can look at the board and instantly see what needs doing.
That's all a pipeline is. Software just draws the board for you and keeps count.
Stages a service business can use
- New inquiry — it arrived, nobody has spoken to them yet.
- Contacted — you've reached them, or tried.
- Qualified / estimate needed — it's a real fit and you need to price it.
- Estimate sent — the number is with them.
- Follow-up — you're waiting on an answer and checking back.
- Won / scheduled — it's on the calendar.
- Lost / not a fit — closed, with a reason.
Use that as a starting point, not a rule. If you never send written estimates, drop that stage. If you do site visits, add one. Stages should describe your process, not a template's.
Rules that keep a pipeline honest
- A lead sits in exactly one stage.
- Every lead not yet won or lost has a next action with a date.
- "Lost" gets a reason: price, timing, no response, not our service area.
- If a stage never gets used, delete it.
- If leads pile up in one stage, that's the part of your process to fix.
What it tells you after a few months
Counting the cards is where the real value shows up. How many inquiries became estimates. How many estimates became jobs. Where things stall. You don't need a dashboard for this — a stage column and a date are enough to spot a pattern.
